Overview
This Refund and Cancellation Policy governs all service engagements between clients and Niyutsa Technologies (“Niyutsa Technologies,” “we,” “us,” or “our”), including healthcare provider credentialing, payer enrollment, revenue cycle management (RCM), medical billing, and related administrative services.
Because our services involve substantive professional and administrative work from the moment an engagement begins — including staff time, document review, CAQH profile builds, payer application preparation, and government-agency submissions — fees earned for completed work are non-refundable. We outline our policy in full detail below so there are no surprises.
Billing Disputes
If you have a concern about any invoice or charge, please contact us in writing at info@niyutsatechnologies.com within 7 business days of the invoice date. Niyutsa Technologies requires a minimum of 7 business days to investigate and attempt resolution of any billing dispute before the client initiates a dispute with a third-party credit or debit card company, bank, or payment processor.
If Niyutsa Technologies receives a chargeback from a third-party financial institution on a client’s behalf before we have been given a reasonable opportunity to resolve the matter, we reserve the right to: (a) charge the client for staff time spent responding to the chargeback and any associated bank or processing fees we incur; (b) suspend all active work on the client’s account until the chargeback is resolved; and (c) refer any unpaid balance to a collections agency. Regardless of the chargeback outcome, Niyutsa Technologies retains the right to collect all fees earned for services rendered.
No-Refund Policy — Work Already Performed
- All engagements begin with a discovery and onboarding phase during which Niyutsa Technologies reviews provider documentation, verifies licensure and board certifications, and prepares the enrollment file. This phase is billed and non-refundable once completed, as it represents direct staff time that cannot be recovered.
- Fees for any payer application — commercial, Medicare, Medicaid, or specialty network — that has been prepared, submitted, or is actively in process are fully earned and non-refundable, regardless of the payer’s ultimate credentialing decision or the timeline involved.
- CAQH ProView builds, NPI/NPPES registrations, hospital privilege applications, and any government-agency filings are irreversible administrative actions. Fees for those services are non-refundable once work has begun.
- In the event of a mutual termination, the client retains all completed work product (credentialing files, submitted applications, attestation records). Any fees prepaid for work not yet started may be considered for a credit at Niyutsa Technologies’ sole discretion, but no cash refunds will be issued.
- There are no partial refunds for engagements cancelled mid-cycle, mid-application, or at any point after substantive work has commenced.
- Introductory, promotional, or bundled-rate engagements cannot be cancelled for a refund once the promotional period has begun. These represent limited-time pricing and are provided in consideration of the full engagement commitment.
Cancellation Policy
- Per-payer enrollment: You may cancel individual payer enrollments not yet submitted. Once an application has been sent to a payer or government agency, the enrollment fee is fully earned.
- Monthly retainer services: Either party may cancel a monthly retainer by providing 30 days’ written notice to info@niyutsatechnologies.com. Cancellation takes effect at the end of the next complete billing period. Monthly retainer fees are not prorated or refunded for partial months.
- New Practice Setup: A flat-fee New Practice Setup engagement may not be cancelled for a refund once onboarding has been initiated, as the scope of work is scheduled and staffed immediately upon engagement.
- We do not offer refunds on any retainer or per-payer fees for accounts that have been dormant or non-responsive for 30 or more days. Client cooperation is required to advance credentialing applications; delays caused by the client do not suspend the billing cycle.
Medical Billing & RCM Services
- Medical billing and revenue cycle management engagements are ongoing service relationships. Fees are earned as claims are processed and accounts-receivable work is performed.
- RCM service cancellations require 30 days’ written notice. Fees earned during the notice period are due and payable in full.
- No refund is issued for billing service fees once a billing cycle has been processed, regardless of payer reimbursement outcomes on individual claims. Payer payment decisions are outside Niyutsa Technologies’ control.
- Denial management and accounts-receivable follow-up fees are earned when the work is performed. We do not refund these fees if a denied claim is ultimately not recovered, provided the appeal or follow-up work was carried out in good faith.
Inactive Accounts
If a client account becomes inactive — defined as no response to Niyutsa Technologies’ communications for 30 or more consecutive days — we reserve the right to suspend work and retain all fees paid to date. A reactivation fee may apply to restart a dormant engagement. Prepaid fees held for future work on an inactive account are forfeited after 60 days of inactivity.
How We Prevent Disputes
Before beginning any engagement, Niyutsa Technologies provides a written scope of work, fee schedule, and expected timeline so both parties share a clear understanding of what will be delivered and at what cost. Clients are encouraged to review all documentation carefully and ask questions before signing. This upfront alignment is our strongest tool for preventing cancellations and disputes.
Governing Law
This Refund and Cancellation Policy is governed by the laws of the State of Texas, without regard to its conflict of law provisions.

Common questions about refunds & cancellations
Can I cancel a credentialing engagement after work has started?
You may cancel at any time; however, fees for work already completed are non-refundable. Once Niyutsa Technologies has submitted applications to payers, completed CAQH profile builds, gathered provider documentation, or performed any billable work, those fees are earned and will not be refunded regardless of the reason for cancellation.
What happens if I decide not to move forward after the initial setup?
If an engagement is terminated before any payer applications are submitted and before Niyutsa Technologies has performed substantive work, a partial credit may be considered at our sole discretion. Initial setup and discovery fees are non-refundable in all cases because they represent direct staff time spent reviewing documents and preparing your enrollment file.
Are monthly retainer fees refundable if I cancel mid-month?
Monthly retainer fees are not prorated or refunded mid-cycle. Cancellation of a monthly retainer requires 30 days’ written notice to info@niyutsatechnologies.com and takes effect at the end of the next full billing period. Work performed during any notice period is covered under the final month’s retainer.
What if a payer denies my credentialing application? Can I get a refund?
No. Credentialing and payer enrollment decisions are made solely by the payer or government agency. Niyutsa Technologies provides expert application preparation and follow-up, but we cannot guarantee approval, timeline, or outcome. A payer denial is not grounds for a refund of service fees because the professional work of preparing and submitting the application has been completed.
